It Started With a Message From Chris

It was the Tuesday before Halloween. I was standing in the warehouse at FLSmidth Iquique with a digital caliper in one hand and a phone in the other. On the phone, a supplier rep was telling me that the bearing clearance on eight new gearboxes was 'perfectly normal.' It was not. I had measured it five times.

I'm a quality and brand compliance manager at FLSmidth Iquique. I review every component that leaves our service center before it goes to a customer—roughly 200 items a year. In 2024, I rejected 6% of first deliveries because of out-of-tolerance specs. This batch of gearboxes was about to join that list.

The Argument I Hear Too Often

The supplier's first response was predictable. 'It's within industry standard. You're splitting hairs.' I've heard that sentence at least twenty times in four years. Usually, 'within industry standard' means 'we didn't meet your spec, but we hope you won't check.' This time, we checked. We had the measurements, the test report, and the original specification. The supplier had to take the gearboxes back and redo them.

That's the moment when a 22% saving turned into a 154% cost overrun.

The Math That Changed My Mind

Let's put some real numbers on this, because the idea of 'value over price' only works when you can see the arithmetic.

  • The low-cost quote saved the mine $28,000 on the purchase order.

A Halloween Scene I Won't Forget

This entire mess happened in the week before Halloween. My daughters were trying to decide between Halloween costumes—a witch or an astronaut. I remember standing in the kitchen with a glittery witch hat in one hand and a rejection email on my phone. Half of my brain was thinking about bearing clearances. The other half was trying to remember if the astronaut helmet was in the garage. It was absurd.

Maybe that absurdity is the point. Cost decisions don't happen in a clean spreadsheet. They happen in the middle of real life, with deadlines and family obligations and a tired purchasing manager trying to close a PO before the end of the month. That's exactly when a low quote looks most attractive—and exactly when you need to slow down.

What I'd Do Differently

First, I'd ask for the original specification in writing before the purchase order, not after delivery. Second, I'd inspect the first article before accepting the whole batch. Third, I'd trust Chris more.

Chris from FLSmidth South Africa had seen this failure mode before. He knew that a cheaper gearbox with 'same nominal specs' often has different heat treatment or bearing selection. He sends those cryptic messages for a reason. Since that incident, I have stopped rolling my eyes at them.

Lowest quote is not lowest total cost. Not every time. But more often than not.

To be fair, there are cases where a cheaper part is fine. Non-critical items—guards, brackets, simple wear plates—don't always need OEM specifications. Buy those on price if you want. But for rotating equipment that supports a whole process line, 'close enough' is not a specification.

One last note: this happened in 2024, and FLSmidth's engineering standards have probably gotten tighter since then. If you're evaluating gearboxes today, ask for the current technical manual. Don't rely on a supplier's verbal promise or a sales pitch. In mining equipment, identification is almost everything. The difference between a part that runs for a decade and one that fails the night before Halloween is rarely visible from the outside. You have to look at the numbers.
